Cancellation

The cancellation admin will be managing the email and Trello board

Three ways to check for submission of new cancellation forms

How to process the cancellation?

  • Manage and monitor the cancellation emails. 

  • Assess the eligibility of cancellation by reviewing the reason and requiring proof of documentation if needed.

  • Determine if it is an Excused or Unexcused Cancellation

  • Log in to Rethink > Scheduling, then click the scheduled session to mark it as canceled on the calendar.

  • Under Cancel Appointment on Rethink, you'll see the following:

    • Cancellation Type: Select if it is Parent or Staff canceled

    • Under Sub-Type: Choose whether Excused Absence or Unexcused Absence 

    • Need to be Rescheduled: Choose always 'No'

    • Notes: Copy and put the reason for their cancellation that was stated on their cancellation form.

  • Respond to the email. (you may refer and copy a sample template from the drafts)  Remember to assess your response on the reason for their cancellation. 

  • Give at least a week for the technician to respond. If there is no response, you can complete the review and move the card to the Excused or Unexcused list on Trello. 

  • All completed cancellation cards will be moved to their respective client’s board.

Excused Cancellation Guideline

  • The employee gives the Cancellation Department sufficient notice at least 48 hours before the absence.

  • The absence request is approved in advance by the Cancellation Department.

  • The client/family cancels the session with any proof of documentation, advises the parent to call the Admin or send them a text for confirmation.

  • Employees with three or more consecutive session days of excused absences because of illness or injury must give NESS proof of physician's care and fitness for duty release before returning to work, otherwise, it will be marked as unexcused.

Unexcused Cancellation Guideline

  • If there are no advance/prompt notifications about illnesses, injuries, or other emergencies to the Ness Admin, it will be considered an unexcused absence “No Show".

  • Late/No advisories to the Ness Admin about vacation leaves or more consecutive session days of absence without sufficient proof of a valid reason

  • BT had failed to inform the NESS Admin promptly when the family canceled. It will be excused if they could provide proof.
