Recruiting & Hiring

1. Candidate Application

  • Application via website (LinkedIN, Indeed, Handshake) 

  • Once the form has been filled out, a card will be automatically created under 1. Candidate Application

  • An automated email will go out with the subject of “Thank You for Your Job Application at NESS Behavior Consulting”

2. Group Interview

  • An automated email will go out with the subject line, “Invitation to a Virtual Group Interview at NESS Behavior Consulting” 

    • Schedule: Thursdays: 5-6 pm and Tuesdays: 1-2 pm

  • Once a card is moved to this list, an automatic email will be sent to the staff to schedule a group interview. When they reply, we need to manually put them in the following interview slot on Google Calendar - Max of 5 invitees per group slot

    • Group Interview

      • If there is no response via email, 

      • Attempt 2: Send Email

      • Attempt 3: Follow up email & phone call

      • If there is no response, we will send a final attempt email and closeout

    • Confirm their interview date and time

    • After the group interview, the card will automatically move to Group Interview Feedback, Recruiter will provide feedback on the card.

  • 2nd Round Phone Interview w/ Mrs. Sykes [BT/RBT's Only]

    • Once a card is moved to this list, an automatic email will be sent to them the schedule an interview and a 1:1 phone Interview with Mrs. Sykes. This is for RBTs ONLY.

      • Subject of the email: Invitation to Second Round Interview with CEO/Founder Desirie Sykes at NESS Behavior Consulting

    • Once a card is moved to this list, an automatic email will be sent to them the schedule an interview and a 1:1 video Interview with Mrs. Sykes. This is for BCBA’s ONLY.

      • The subject of the email: Invitation to 1:1 Interview with NESS Behavior Consulting Founder and CEO

PHASE 1: ONBOARDING / OFFER

  • Offer letter - offer email will be sent via Careers@nesscares.com when a card is moved to this list, instantly

    • Subject of the email: NESS - Employment/Contract Offer

  • Manually update the label on the card for the location where they can work

  • Review careers@nesscares.com email for an email reply/response to the offer & update the card with reference contacts for to follow up with.

    • Attempt 2: Send an email

    • Attempt 3: Send email and follow up phone call

  • Background Check: Soft call reference by the Recruiter

  • Background Check: Hard pull via Checker

    • Criminal offense, etc

  • Manually SEND EMPLOYEE CONTRACT VIA ESIGN as we need to update the pay rate and personal details regarding staff.

  • Create Rethink Account & update File Cabinet [Onboarding '24]

  • Update Staff's Schedule Preference in Rethink

  • The New Hire Paperwork should be completed & Recruiter should be reviewing the staff’s accounts tab (Check the Onboarding ‘24 file Cabinet to ensure all docs below are updated) 

  • Document needed:

    • Copy of state driver’s license or U.S. Passport

    • Copy of certifications/licenses (BCBA, RBT, CPR/AED, crisis intervention training, etc.)

    • Copy of degrees and/or transcripts

    • Signed employment contract

    • NPI Number

    • Health Examination

    • CONFIDENTIALITY

    • Auth of Background Investigation

    • Create a NESS email account (update the email field with their work email) lastname_firstnameinitial@nesscares.com

    • Create a Bambee account and send policies

    • Signed Live Onboarding Docs

  • Additional documents needed for BCBAs

  • The Credentialing Admin will have to update the BCBAs CAQH and add the NESS Behavior Consulting address to their practice information

  • Confirm if they have a Medicaid number

    • If yes, get the Medicaid number and add them to the NESS group contract

    • If no, start the process of credentialing for Medicaid

  • Begin adding to all insurance contracts

    • Humana

    • United Health Commercial

    • CIGNA/Evernorth

    • Beacon/Carelon

    • Fidelis Commercial

    • Magellan

    • Aetna

    • BCBS

    • Magnacare

    • Molina Healthcare

4. VIRTUAL ORIENTATION [TEAM INTRODUCTION]

  • There will be an automated that will be sent out such as the:

    • CONFIDENTIALITY & HIPAA AGREEMENT sent

    • Team Introduction Email: Payroll

    • Team Introduction Email: Scheduling

    • Team Introduction Email: HR

    • New Hire On-Board Training email Request sent out via Careers Department

      • Subject of the email: NESS Invite to Virtual Orientation

    • Confirm the Orientation date via email (the initial email was already sent instantly)
      + photo for the company badge

  • New Hire Orientation

  • ADD to the staff portal on the NBC website

  • Create a company badge

  • Create a Relias Seat & send them the "Welcome to NESS - State-mandated Training" 

  • Follow up with Bambee Policies for all Signatures. Send an email if not completed.

5. BCBA & RBT TRAINING + HR INTRODUCTION

  • BCBA Training with Lead BCBA

  • RBT/BT Training

  • Match to Potential case(s) & Prepare CWA

  • Add potential clients to their board, see the signed CWA

    • Ensure to upload the CWA on Rethink under the folder named CWAs

  • BCBA & Tech Introduction Email via Client Coordination team; also update the
    Trello board with any feedback needed 

  • Introduction Email sent to the family cc’ing the Clinical Team

  • We have to add the staff to Google Chat Teams

  • Review the staff board and ensure the client cards are attached to the staff board, as per their
    signed CWA - ensure the correct checklist is on each card as well

  • Move the staff card to ✔- First Week list after the Tech has completed 1 session with a client

  • Policy Follow-Up and Signatures

6. #ReadyToWork

  • Once the card has been moved to this list, the staff will receive an automated email with the subject line: #ReadytoWork [New Hire Training Recap]

  • Add them into TOOL Refresher Training with the Trainer, if needed. They can be added weekly if required - this needs to be done manually, and they need to be added to the calendar.

  • Send the CWA

  • Double Check ALL Completed Policy- Verbal Warning will be issued if not completed

7. ONE WEEK CHECK-IN

  • Email sent to tech to schedule 1:1 meeting with Director

  • Review Rethink Account with Tech

    • Headshot updated

    • Copy of state driver’s license or U.S. Passport

    • Copy of certifications/licenses (BCBA, RBT, CPR/AED, crisis intervention training, etc.)

    • Copy of degrees and/or transcripts

    • Signed employment contract

    • Health Examination

    • CONFIDENTIALITY

    • Auth of Background Investigation

    • NPI Number

  • Review Feedback and or concerns regarding the case 

  • Review Trello Staff tools, Training or resources needed at this time

  • Schedule HR meeting to discuss policies etc

  • FINAL Policy Check - Written Warning (not completed)
